Order Terms and Conditions

The Workroom Collective is a trade-only workroom committed to excellence in the fabrication of custom window treatments and soft furnishings. These Terms & Conditions govern all orders placed with The Workroom Collective. By submitting a purchase order, you agree to the following terms in full.

1. Communication
All purchase orders (POs), change orders, and approvals must be submitted via email or confirmed phone call with written email follow-up. Text messaging may be used for quick clarifications but will not serve as an official communication method for order changes or approvals.

2. Payment Terms
Full payment (100%) is required prior to project commencement. No production will begin until payment has been received in full. We accept check, ACH transfer, or credit card.

3. Project Scheduling
Production will not be scheduled until the following items have been received:
  • Fully completed PO
  • Full payment
  • All COM materials (fabric, trims, etc.)
  • Any required approvals (e.g., sketches, design confirmations)
Standard lead time is 8–10 weeks from receipt of all required materials and approvals. The Workroom Collective is not liable for delays due to third-party vendors, fabric availability, shipping disruptions, or on-site conditions outside of our control.

4. Rush Orders
Requests for expedited turnaround are subject to approval and may incur a rush fee. Approval is based on production capacity at the time of request. We reserve the right to decline any rush order.

5. Purchase Order Requirements
All orders must be submitted using The Workroom Collective’s official purchase order form. Incomplete purchase orders will not be accepted. It is the responsibility of the designer to ensure that all required fields are completed in full, including treatment specifications, fabric details, and contact information.

6. Change Orders
All change requests must be submitted via email as a revised PO. Changes are not guaranteed once production has begun and may result in additional charges or extended lead times.

7. Fabric Suitability
The designer is solely responsible for selecting appropriate fabrics and trims. We are available to advise prior to ordering. Special attention should be given to natural materials like linen, which may stretch, shrink, wrinkle, or react to humidity. These characteristics are not considered defects.

8. Fabric Shipping Requirements
All COM shipments must be rolled on tubes. Folded or boxed fabric may incur creases that require additional handling. Pressing or rolling fees will apply if extra labor is required. Each shipment must be clearly labeled with:
  • Designer/company name
  • Client name
  • Room/location (side mark)
9. Fabric Inspection
All customer-supplied fabric will be inspected by The Workroom Collective upon receipt. If flaws are identified that cannot be cut around or that materially impact the fabrication process, the designer will be notified immediately. The designer is solely responsible for supplying flaw-free fabric. If replacement fabric is required, any associated delays, costs, and coordination are the responsibility of the designer. In the event a replacement fabric must be re-inspected, an additional inspection fee may apply.

10. Additional Labor for Specialty Fabrics
A labor surcharge will apply to specialty or difficult fabrics including but not limited to: velvet, crewel, raw silk, lace, leather, quilted materials, and directional or loosely woven fabrics. If uncertain, submit a fabric sample before ordering. We reserve the right to revise the quote upon receipt of challenging fabrics.

11. Leftover Fabric & Storage
Fabric remnants will be returned upon written request. Otherwise, they will be stored for 60 days following project completion and then discarded or donated at the discretion of The Workroom Collective.

12. Short Yardage or Alternative Methods
Requests to fabricate with less-than-required yardage or to deviate from standard fabrication methods are subject to additional fees. These deviations may affect the final product quality and are taken at the designer’s risk.

13. Alterations & Remakes
Requests for alterations on existing treatments are accepted at our discretion. Items must be professionally cleaned before delivery. We do not guarantee the durability or performance of existing materials. Quotes will be provided based on hourly labor plus materials.

14. Freight & Shipping
When treatments are shipped to a designer or client, all associated costs for packaging, freight, insurance, and handling will be billed to the designer. In most cases, a shipping and handling fee equal to 10% of the total project cost will be applied. If actual shipping or handling expenses exceed this amount, the designer remains fully responsible for the balance. The Workroom Collective assumes no responsibility for damage incurred during transit by third-party carriers.

15. Warranty
We warrant our craftsmanship for one year from the date of delivery or installation. All warranty claims must be submitted within 30 days of discovering the issue. This warranty covers fabrication-related defects under normal use and conditions. It does not cover:
  • Wear and tear
  • Improper use, cleaning, or storage
  • Environmental exposure (sunlight, moisture, humidity)
  • Issues resulting from client-installed hardware or third-party handling
  • Natural fabric tendencies such as fading, stretching, or shrinking
16. Disclaimer
The Workroom Collective is not liable for the long-term performance of client-supplied fabrics or trims. All products are fabricated based on the information and measurements provided in the approved PO. Deviations in final appearance due to natural characteristics of materials, on-site conditions, or environmental exposure are not considered defects.

17. Order Cancellations
Once payment is received and materials are in production, orders may not be canceled. If a cancellation is requested prior to production, The Workroom Collective reserves the right to retain a portion of the payment to cover administrative and material handling costs. No refunds will be issued for any custom work that has entered fabrication.

18. Measurement Accuracy
It is the responsibility of the designer to provide accurate measurements for all treatments. The Workroom Collective is not liable for errors resulting from inaccurate or incomplete measurements provided by the designer or client.

19. Design & Intellectual Property
All sketches, fabrication methods, and workroom processes developed by The Workroom Collective remain the intellectual property of The Workroom Collective. These may not be replicated, distributed, or used by third parties without written permission.

20. Governing Law
These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Iowa, without regard to its conflict of law principles. Any disputes arising from services provided by The Workroom Collective shall be subject to the exclusive jurisdiction of the courts located in Bremer County, Iowa.

21. Force Majeure
The Workroom Collective shall not be liable for delays or failure to perform due to events beyond its reasonable control, including but not limited to natural disasters, supplier delays, labor strikes, transportation interruptions, or government orders.
